The payoff letter and the HOA estoppel. In the file before the contract date.
Saltheron is a chase agent that works under the production system you already run. It collects the artifact from the servicer, the HOA portal or the recorder, writes status back, and leaves every payoff letter for a named person to approve.
Median title-processor wage (PayScale, 127 profiles, June 2026), about $3,370 a month before burden. Saltheron is priced per exception and per closed file against that seat.
Average accepted mortgage-payoff fraud case in CertifID’s Q3 2026 recovery book. Payoff letters carry wiring instructions, so a named person approves every one.
Or SoftPro, ResWare or RamQuest. Saltheron chases the third party and posts the artifact. It does not replace the production system.
Payoffs, HOA estoppels, tax certs, recordings. Until they are in the file.
The third party does not work for you and does not share your closing date. Saltheron works the portal, the fax and the 1-800, then writes status back. Florida shops already know not to order an estoppel more than 45 days out, because it is only good for 30.
- Ordered the day the file opened, not the day before closing
- Good-through date and per diem pulled from the letter
- Wiring instructions stay in review until a named person signs off
- Portal login you supplied, not a shared inbox
- Will not order so early that you pay for the package twice
- Special assessments and collection-attorney payoffs flagged on the statement
- Pulled from the county site or faxed request
- Amounts and good-through date written back to the file
- Closer still closes in Qualia
- Package assembled from the file you already have
- Fax and e-recording portals, not a phone tree
- Instrument number posted when the stamp comes back
Nothing with a wire hits the file until a named person says so.
A hacker in a processor’s inbox swapped a payoff statement and walked off with more than $1.7 million. Saltheron will collect the letter and call the servicer back at a number you already have. It will not post the wiring instructions until someone at your agency, by name, approves them. We do not wrap this in a certification we do not have.
- Figures pulled from the PDF. Wire details are not written to Qualia yet.
- Statement date checked against the closing date
- HUD partial claims and other add-ons flagged if the letter is silent
- Letter arrived from PNC payoff portal
- Callback to the PNC number already on this file, not the number on the letter
- Amount, good-through date and ABA confirmed on the call
- Held for Dana Chen, owner. Will not post without her sign-off
The callback uses a number you supplied when the file opened. A new number on the letter is treated as a mismatch, not a destination.
Callback matches the file. Post the letter and the wire details to Qualia #10412?
HOA counsel has not returned the request. Keep chasing, or ask the closer to push the date?
The PDF and a status line. Qualia, SoftPro, ResWare or RamQuest.
The closer still closes in the system you pay for. Saltheron is the chase layer underneath it: artifact on the file, status the closer can see, and an exportable log of who requested, who called back and who approved. We start from credentials and phone numbers you supply. We do not claim SOC 2 or ALTA certification.
- County cert requested from the tax collector site
- PDF received · $2,418.00 due, good through closing
- Artifact attached to Qualia #10391
- Status line: tax cert in file
- Dana Chen authorized chase on Qualia #10412
- Payoff PDF stored · SHA-256 logged
- Callback to file number 800-555-0142, 6 min 12 sec
- Held for Dana Chen. Wire details not posted
Status and the PDF go back to the file you point us at. We do not ask you to move to Qualia.

The buyer is the owner of a 5-to-30-person independent title agency, or the managing attorney at an attorney-closing firm. Not the licensed closer, and not the underwriter of record.
Independent title agencies
Five to thirty people. The owner is still covering processor work because the last hire did not stick.
Chase under your AMS →Attorney closing firms
NY, GA, SC, NC, MA and peers. The managing attorney or practice manager buys for the escrow desk.
Same chase, law-firm file →Affiliated title companies
Builder, lender or broker JV shops that still have to chase servicers and HOA portals on every file.
Exceptions cleared →SoftPro, ResWare, RamQuest
Qualia Clear is Qualia-only. If you are not on Qualia, you still need the chase layer.
Keep your production system →HOA-heavy markets
Florida, California condos, anywhere an estoppel or resale package can slip the contract date.
Order inside the 30-day window →Not the right fit
You want to replace Qualia, sell the agency to a roll-up, or buy exam AI for an underwriter direct operation. Saltheron is the chase seat only.
Wedge is one document class across many agencies — payoffs or HOA estoppels — not a new production system.
Waiting on a servicer, an HOA portal, or a hire you cannot find
“it’s insanely difficult to get the collection attorney to respond to payoff requests once they get their hands on it.”
“We could not get responses from these companies. They just wouldn’t respond to us. So we couldn’t close it. It’s as if I have a mortgage on the property and I can’t get a payoff.”
“they can’t sell their home because PNC Bank will not give the title company [the] payoff.. unreal”
“The biggest racket in the Real Estate industry has to be ordering HOA docs. $664 dollars for the HOA management company to send you PDFs that they already just have laying around…. and on top of that it takes 2 weeks or an extra $150 if you want them quicker.”
“Closing has already been pushed back 3 times (was originally supposed to be July 1st)” because the lender was waiting on a paid invoice from the HOA.
“Im told they couldn’t get the estopple cert from the HOA and they never gave me an appt time.”
“Weeks of delay and thousands in extra fees. That’s what I’ve seen when a title company misses a missing estoppel letter or mishandles a Sarasota County recording.”
“I’m 64 and run a title insurance company with my partners (we’re all 55+). We’ve been doing title searches the same way for 30 years, but we know we need to modernize or get left behind.”
A typical closing attorney or title agent has to hire enough people to cover the market, or “hire an unskilled worker and train them from scratch (a risky investment).”
“by not securing the email… the hackers stole over 1.7 million.”
From public forums, posts on X, industry notes and talks. These people are not Saltheron customers.

For comparison: a title processor runs $16–$27 an hour ($19.47 median, about $3,370 a month before burden). An offshore title-production seat is sold at about $6,000 a month versus an $80k hire. One missed payoff is a redrawn closing, or, on wiring instructions, a seven-figure loss.

Questions title-agency owners ask
Straight answers on price, payoff letters, Qualia Clear and what Saltheron will and will not post.
What is Saltheron?
Saltheron is a chase agent for title and escrow files. It works under Qualia, SoftPro, ResWare or RamQuest and collects the artifacts a closer needs from people who do not work for you: payoff letters from servicers, HOA estoppels from management-company portals, tax certs, recordings and Schedule B exceptions. It writes status back to the file. It does not replace your production system, and it does not post a payoff letter until a named person approves it.
How much does Saltheron cost?
Software is $249 a month for up to 30 exceptions, and you approve every payoff letter. Managed is $690 a month for up to 40 closed files and adds a named ops person who reviews every payoff wire and logs the servicer callback before the letter is posted. Custom is priced for several offices, attorney-closing states or more than 100 files a month. Every plan is month-to-month with no setup fee.
Is Saltheron cheaper than hiring another title processor?
A title processor’s median wage is $19.47 an hour (PayScale, 127 profiles, June 2026), about $3,370 a month before burden, $16 to $27 an hour in range. An offshore title-production seat is sold as about $6,000 a month versus an $80k hire. Saltheron Managed is $690 a month for up to 40 closed files, about $17 a file at the cap, and you are not training a new hire from scratch. The real cost it is priced against is a slipped closing, or a payoff letter whose wiring instructions were swapped.
Who approves payoff letters and wiring instructions?
A named person at your agency, every time. Saltheron will collect the letter, extract the figures and the wiring instructions, and call the servicer back at a number you already have on file. It will not post the letter or the wire details into Qualia, SoftPro, ResWare or RamQuest until that person signs off. Payoff letters carry wiring instructions; CertifID’s Q3 2026 recovery book put the average accepted mortgage-payoff fraud case at $2.2 million. We do not claim a fraud-insurance wrap, SOC 2, or an ALTA Best Practices certification we do not have.
Do I have to leave Qualia, SoftPro, ResWare or RamQuest?
No. Saltheron works under the production system you already run. The closer still closes in Qualia or SoftPro. Saltheron chases the third party, then puts the PDF and a status line on the file. SoftPro shops that are on-prem are in scope the same way Qualia shops are. We are not “the new Qualia.”
How is Saltheron different from Qualia Clear?
Qualia Clear is an in-platform agent for Qualia customers. It helps with exam, email, pre-close checks and some outbound, and Qualia’s own pages say you must already be on Qualia. Saltheron is the chase layer that sits under Qualia, SoftPro, ResWare or RamQuest and hunts artifacts from servicers, HOA portals and recorders. If you are on Qualia, you can run both. If you are on SoftPro or ResWare, Clear is not an option and Saltheron still is.
How does authorization and the audit trail work?
Every chase starts from a file you authorize. Outbound portal logins, faxes and callbacks use credentials and phone numbers you supply. Each artifact is stored with who requested it, when it came in, which number was called back, and who approved posting. Payoff letters stay in a review queue until that named person approves. You can export the log for a file. We describe the workflow; we do not claim SOC 2, HIPAA, FCRA or ALTA certification.
Who is Saltheron for?
The owner of a 5-to-30-person independent title agency, then the managing attorney or practice manager at an attorney-closing firm, then ops at an affiliated title company. It is not a roll-up: Propy buys $5–20 million-revenue shops and drops Agent Avery in; Saltheron is software and a chase seat you keep running yourself. It is also not exam AI for underwriter direct operations.
